Description
Job DescriptionThe School of Nursing graduate program seeks an administrative and clinical placement assistant to work in collaboration with the Associate Dean for Clinical Education and Associate Dean for Graduate Programs to provide administrative support for the School of Nursing. This position offers a flexible hybrid work arrangement and requires occasional on-site presence for scheduled meetings, and other institutional activities during the year.
Administrative Assistant Duties:
- Work collaboratively with the Associate Deans, Program Directors and faculty to contribute, sustain and enhance an inclusive working and positive learning environment.
- Prepare typed reports, memorandums, meeting agenda and minutes
- Arrange and coordinate graduate program events and residencies
- Assist and coordinate with School of Nursing events: Orientation, Pinning and Awards, Sigma Theta Tau Induction
- Prepare itineraries and assist with coordination of faculty/staff candidate interviews if requested
- Manage supply orders for graduate faculty and staff
- Generate and track purchase orders
- Process invoices for payment; track School of Nursing expenditures in collaboration with the Associate Dean for Graduate Programs
- Assist with office mailings
- Serve as liaison to the Office of the Registrar
- Generates contracts for adjunct faculty and guest speakers
- Serve as Administrative Assistant for the Graduate Academic Standing Committee
- Serve as Administrative Assistant on Shared Governance Committees
- Collect data and generate reports as needed for accreditation and School of Nursing program evaluations
- Maintain records in accordance with accreditation standards on secure drive
- Additional responsibilities may be assigned by supervisor
Clinical Placement Duties (in collaboration with the Graduate Clinical Placement Coordinator):
- Assists with clinical clearance, compliance and onboarding of graduate students to clinical placement sites
- Coordinates onboarding of clinical preceptors
- Facilitates adjunct faculty onboarding in collaboration with the Associate Deans, Program Directors and course faculty
- Prepares reports as requested related to School of Nursing clinical placements
- Develops and maintains clinical tracking databases
- Maintains clinical adjunct faculty documentation per accreditation standards
- Develops and maintains support materials for students and faculty using online clinical database
- Corresponds with faculty, students and clinical partners regarding clinical experiences
- Collects and maintains student clinical evaluations, site evaluations, clinical faculty evaluations, as appropriate
- Participate in accreditation site visits, audits, and program reviews as needed
- Additional responsibilities may be assigned by supervisor
Requirements
Required:
- A minimum of a high school diploma and two years of experience in an administrative support position in a professional setting
- Proficiency in the use of computers including MS WORD, Excel, PowerPoint and Outlook
- Excellent organizational and communication skills
- Strong interpersonal skills
- Ability to maintain confidentiality and ensure accuracy of work
- Ability to work in a fast-paced environment, set priorities and meet deadlines
- Must be able to work independently and effectively interact with a wide array of parties at all levels (students, faculty, administration/staff, alumni, and external constituents, including healthcare industry professionals)
Preferred:
- A bachelor's degree or equivalent experience
- Evidence of success in a customer service role
Physical Requirements:
- Typical office or administrative working conditions. Not exposed to adverse environmental conditions. Work is primarily sedentary in nature; there are no special physical demands.
- Work requires sitting, standing and walking.
- Must be able to use technology, such as typing and manipulating a mouse/mouse pad
- Must be comfortable with keeping camera on and recording synchronous meetings
- Must be able to lift and carry up to 10 lbs
