Description
SummaryThe Administrative Program Coordinator is responsible for bookkeeping functions as well as financial review and oversight of departmental expenses and revenue recognition. Under the supervision of the Director of Operations, prepares financial reports, processes invoices and purchase orders, records deposits, serves as Concur delegate for all financial-related activities, performs general administrative tasks including travel management, and works closely with Director of Operations to monitor annual departmental budgets.
This position will also provide administrative support to the leadership and staff for Campus Health. The Administrative Program Coordinator will perform a variety of duties including but not limited to maintaining schedules, organizing travel arrangements, and coordination and set-up of scheduled events. Responsible for maintenance of the office, including supply ordering, maintenance requests, and vendor relations.
Required Knowledge, Skills, and Abilities
• Ability to work in a fast pace environment and patient-centered atmosphere.
• Knowledge and demonstrated level of proficiency with Microsoft Office programs including but not limited to Word, Excel and PowerPoint.
• High levels of organization and multi-tasking ability.
• Ability to prepare basic financial statements and reports; ability to accurately review and analyze financial information.
• Ability to accurately enter financial data into appropriate ledgers, journals, and/or databases.
• Ability and willingness to learn Tulane's accounting system, and other related financial reporting software applications, including established policies and procedures.
• Demonstrated ability of excellent oral, written and interpersonal communication skills, as well as the ability to interact effectively and courteously with individuals at all levels internal and external to the organization.
• Ability to maintain confidentiality at all times.
Required Education and/or Experience
• Bachelor's Degree and 1 year of work experience in purchasing/accounts payable.
OR
• High School Diploma or equivalent and 5 years of work experience in purchasing/accounts payable.
Preferred Qualifications
• Bachelor's Degree.
• Administrative or office experience in a healthcare setting.
• Experience in travel arrangement scheduling and expense report submission.
• Experience with payroll timekeeping management or payroll systems.
• Experience with budget management and purchasing.
