Preferred Qualifications Position Summary
The AHRC Office Manager has a high level of responsibility and aids the AHRC Operations Director with day-to-day operations of the AHRC Department. This position performs administrative and support duties for AHRC Operations and Science Director, the Office of Biosafety as well as other needs for the building, with a wide latitude for exercising discretion and judgment. This position also deals with highly confidential information and uses discretion effectively. The incumbent will serve as SOP Program Administrator and manage all official documents. This position will maintain the website and assist AHRC Administration with marketing duties as needed. The Office Manager functions with a high degree of autonomy with independent judgment and is highly competent and skilled in the understanding of fiscal and administrative requirements for the ongoing effective operations of the Animal Health Research Center. This position will oversee purchasing, expense reports, DocuSign program, access control, and assist with HR responsibilities for the department. This position will serve as departmental staff liaison for other units on campus; aid faculty and staff regarding policies and procedures, and assist visitors and contractors when needed. This position works closely with principal investigators, departmental staff, the Office of Biosafety, and AHRC Administration to coordinate access approval and grant access to the highly secure facility, as well as coordinate the training and documentation for access. They will manage all aspects of the security office of the AHRC.

- Demonstrated ability to coordinate and manage multiple competing projects in an organized, efficient manner by prioritizing tasks to meet deadlines.
- Knowledge of state and federal laws and regulations pertaining to departmental budget and accounting practices.
- Ability to act independently and exercise sound judgment with sensitivity to identify matters with higher-level management consultation. Strong attention to detail.
- Ability to interpret policies and procedures and to propose solutions to problems.
- Substantially developed interpersonal and teamwork skills to successfully work with diverse groups in an academic environment.

- Software experience and expertise in: MS Office Suite, Adobe, Docusign (preferred).

Duties/Responsibilities

- Oversees and manages the AHRC SOP program and the Official Document Program. This entails logging, organizing, formatting, filing, sending out for approval, posting final copies and managing the annual renewal process for both programs.
- Performs security and access control duties to include managing access paperwork, enrolling users into access software, collecting fingerprints, managing facility visitors, and monitoring security cameras and door points.
- Ordering and maintaining office supplies, sorting mail, maintaining conference and meeting room reservation calendar, receiving and distributing deliveries from FedEx/UPS/USPS.
- Assist with management of annual performance verification software (Bioraft) to support AHRC administration and OBS. This includes but is not limited to: inputting completed inspections, printing off yearly summaries, and providing a status list of required inspections.
- Assist with oversite of the DocuSign account and all incoming/outgoing forms, including follow up and updating AHRC administration with form statuses.
- Processes purchase orders, check requests, support travel arrangements and reimbursements, process purchase requests through UGAMart, create internal expense reports, and journal vouchers.
- Assist AHRC Administration with the management of the business office and obtain and maintain a P-card. This may include creating and submitting quotes, sending invoices, and creating journal entries and general ledgers, reconciling P Card reports, etc.
- Oversite and support with UGA Jobs and managing position descriptions.
- Other duties as needed within the purpose and scope of the role.
- Becomes thoroughly knowledgeable of Select Agents and Toxins Security Information Document and Plan Template (7CFR Part 331.11, 9CFR, Part 121.11, 42CFR Part 73.11) in order to support the security of sensitive information and documents at the AHRC. This position will maintain Select Agent and Tier 1 registration.
- Assists with security regulatory compliance by managing security programs including oversight of the visitor management software and monitoring visitors, enrolling and deleting personnel access in the access control system, managing access control forms, obtaining and following up on approval signatures, and maintaining well-organized access records and associated documents. Assists AHRC administration in filing, collecting, and organizing training documentation for personnel seeking independent access.
- Assists in monitoring security camera feeds and door alarm systems. Communicates effectively with alarm respondents, AHRC administration and the Office of Biosafety (OBS) to help determine cause of alarm(s) and subsequent resolution(s) when applicable.
- Maintain AHRC Chematix/Optics Data and serve as facility AED coordinator and escort vendors and contractors through secure areas when applicable.
- Manages, maintains and updates the AHRC Webpage as directed. This includes current events, personnel, content, marketing, and stories as UGA webpages will allow.
- Assists the Operations Director and Science Director as needed with other duties.
