Preferred Qualifications Position Summary
This position will support the office of the Senior Vice President for Academic Affairs. The position will utilize skills and knowledge at a high level in working with UGA and UGAF business processes across budgeting, finance, and reporting.
Knowledge, Skills, Abilities and/or Competencies
- Familiarity with higher education institution operations
- Extensive knowledge of UGA, UGAF and USG policies and procedures
- Demonstrated ability in PeopleSoft Financials, One USG Connect, Anaplan and FAME (including approving and reporting)
- Working experience with UGA funds (including state, grants, foundation, and income fund types)
- Strong leadership skills and proactive approach
- Excellent oral and written communication skills

Duties/Responsibilities
Financial/Budgeting Responsibilities:
- Monitor financial records and perform monthly reconciliations for VPAA to include RI and Foundation funds for the Associate Vice President of Academic Fiscal Affairs to review.
- Oversee Provost commitments in Dual Hires, Opportunity Hires, Top-Off funds and Retentions to include setting up commitments, transferring funds and reconciling the funds.
- Set up new chart fields in the financial management system when needed.
- Perform quarterly budget review on VPAA unit accounts.
- Manage the budget planning process for VPAA and its units. Work with senior management in the Provost Office to determine budgets for VPAA. Work with Budget Office on transfers and allocations to units.
- Advise VPAA staff regarding financials, budgeting, and purchasing in an accurate and efficient manner.
- Provide guidance on financial policies and procedures.
- Provide monthly reports as well as other various reports needed for administrators in VPAA in a timely manner
- Collaborate with HR lead in the Provost office on funding for senior level searches.
- Provide backup when needed for VP for Instruction operational funds.
Human Resources Responsibilities:
- Serve as HR Liaison for all Sr. VPAA and VPI units
- Collaborate with personnel in UGA's Human Resources office
- Provide guidance to offices within the Sr. VPAA and VPI on actions in UGAJobs.
- Use of UGAJobs to fulfill department needs
- Manage OneUSG record system for all employees of the Sr. VPPA and VPI office
- Work with departments to process and manage terminations
- Provide guidance to employees on HR policies and procedures
Leadership, Training and Communications:
- Work closely with Associate VP for Academic Fiscal Affairs on projects and initiatives
- Represent the Provost Office in UGA committees and work groups as assigned (BSAG, Reporting Liaison, STF, the new ERP system, etc.)
- Lead monthly meetings with the units of VPAA to communicate new financial policies and procedures and to answer questions. Set agenda and send out invite each month. Coordinate with the Sr. Director of Instructional Fiscal Affairs in the VP for Instruction Office to include VPI units as well.
- Send out communications to units of VPAA when financial policies or procedures change.
- Train new business managers of VPAA units in financials, budgeting, and operational management.
- Cross train the Administrative Specialist on various financial functions.
- Other duties as assigned
Payroll:
- Manage payroll submission and approvals in a timely manner working with the Administrative Specialist
- Set up combo codes and manage position funding for all employees in VPAA
- Review payroll reports to ensure accuracy. Correct suspense transactions as needed.
