Description
Indiana University (IU) Cinema (IUC) provides transformative cinematic experiences for all. As an academic support unit and a world-class curatorial program and exhibition space, IUC curates unique artistic, educational, and intellectually enriching programs. This manifests in myriad forms, including but not limited to, film series, visiting scholars, filmmakers, and various film industry professionals, offering students unparalleled access to some of the most influential global artists and experts; conferences and symposia, student-film showcases, internships, and practical industry experiences; and community engagement. Since its founding in 2010, the Cinema has served over 320,000 people, programmed films from 52 percent of the 195 United Nations-recognized countries, and offered more than 52 percent of its programming completely free of charge.More than an arthouse cinema, IU Cinema is an energetic participant in the life of Indiana University. With more than 200 programs and events per year that include a unique and innovative mix of visiting filmmakers, screenings with live music, academic and community partnerships, and special retrospectives and programs, the Cinema is a benchmark for other cinemas around the world.
IU Cinema programs film and events that educate, entertain, and enrich the lives of faculty, staff, students, and residents of the community, helping to fulfill the University's public engagement mission. IUC functions primarily as a leading-edge curatorial center and exhibition space, maintaining world-class facilities, technologies, programs, and customer service. It enhances the use, scholarship, and research associated with the Indiana University film collections and other archives around the world and provides meaningful educational experiences outside of the classroom for IU students.
Job Summary
The Operations Administrative Assistant performs a variety of functions to ensure the smoothest operation of the IU Cinema Operations team duties. Through data collection, reporting, and maintenance, this position is responsible for information and correspondence critical to the success of IU Cinema event presentations. This position will work closely with the Director of Theater Operations and House Manager on a regular basis, as well as working collaboratively with other event staff members, programming, marketing, and technical staffing.
Department-Specific Responsibilities
- Responsible for pre-event assistance, post-event data tracking, volunteer program support, and general administration
- Assist Director of Theater Operations with pre-event paperwork and collecting data for IU Cinema's annual reports
- Carry out poster and other marketing material distribution
- Assist with monitoring IU Cinema's Ticketmaster site
- Confirm IU Cinema staff participation information for select programs
- Perform maintenance tasks in support of IU Cinema's house and/or outreach departments
- Assist Director of Theater Operations and House Manager with planning select internal events (such as staff training and volunteer appreciation events)
- Support last-minute event needs when necessary
- Track volunteer applications and data
- Work with IU Cinema staff to update IU Cinema's volunteer website as needed
- Communicate orientation dates and other important volunteer opportunities to IU Cinema's internal and external partners
- Administer end-of-year volunteer survey
- Update internal protocols and procedural documents
- Assist with volunteer signups
- Update internal protocols and procedural documents
- Attend outreach events, if desired
- Perform other duties as needed
Qualifications
EDUCATION
Required
- Currently enrolled as a student at Indiana University.
Preferred
- 2 years of experience in events, administrative duties, or related field.
Required
- Basic computer skills and willingness to become proficient in Microsoft Office Suite.
- Proficient in written and verbal communication skills.
- Ability to work in a team environment.
- Highly thorough and dependable.

Working Conditions / Demands
The person in this role must be able to navigate and work within a multi-level facility. This position involves remaining in a stationary position for extended periods of time. The role also requires the ability to move or transport materials weighing up to 10 pounds. The person in this role must be able to perform the essential functions with or without an accommodation.

Work Location
Bloomington, Indiana
This position is eligible for a hybrid schedule (mix between remote and in-person work), subject to change in the future based on university policy and business needs.
Work Hours
6 - 10 hours per week, with a regular daytime schedule.
Some evening and/or weekend hours may be requested. Schedule may vary due to Cinema's programmatic calendar.
