Description
Job Summary:The Coordinator Office Services is responsible for supporting office operations for the Office of Institutional Equity (OIE) by planning, supporting and assisting with various administrative duties, many confidential in nature. This position will assist with special projects, drafting correspondence, managing office calendars, and scheduling appointments.
Duties & Essential Job Functions:
1. Serves as the point of contact for the Title IX Coordinator, Title VI Coordinator, as well as for the Office of Institutional Equity at large.
2. Manages daily operation of the office by relieving the Title IX Coordinator and Title VI Coordinator of various administrative duties, involving confidentiality, public records and public relations.
3. Monitors all departmental projects and tracks progress and deadlines. Anticipates needs of and ensures OIE staff have up to the minute knowledge of issues, projects, and timelines, as well as requisite materials, documents and reports. Assists with preparation of materials for presentations and projects as needed.
4. Briefs OIE staff on daily events and projects by reading, researching, interpreting, drafting, editing, and submitting informational reports, technical reports, electronic communications, and other data; collecting and analyzing information; and initiating communications.
5. Provides supervision, orientation, and training of student workers; processes new hire paperwork; creates work schedules; approves hours through Frog Time according to schedule. Oversees daily workflow assignments of student workers.
6. Maintains department schedules by keeping calendars for department personnel; arranging meetings, conferences, and travel.
7. Produces information by developing, transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
8. Organizes work by reading, routing and answering correspondence; collecting, maintaining and prioritizing information; managing department procedures and telecommunications.
9. Organizes department events by securing speakers, making guest travel arrangements, choosing menus or purchasing food, reserving facilities, ordering decorations, preparing agendas, programs and taking minutes.
10. Maintains webpages for department by creating and updating content; identifying and resolving issues and implementing results.
11. Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
12. Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques, making recommendations for changes.
13. Facilitates opening and closing procedures for the office.
14. Performs other related duties as assigned.
Required Education & Experience:
• Associate degree or equivalent in experience.
• 3 years of administrative experience, including supervisory experience.

Physical Requirements (With or Without Accommodations):
• Visual acuity to read information from computer screens, forms and other printed materials and information.
• Able to speak (enunciate) clearly in conversation and general communication.
• Hearing ability for verbal communication/conversation/responses via telephone, telephone systems, and face-to-face interactions.
• Manual dexterity for typing, writing, standing and reaching, flexibility, body movement for bending, crouching, walking, kneeling and prolonged sitting.

Work Environment:
• Work is indoors and sedentary and is subject to schedule changes and/or variable work hours.
• There are no harmful environmental conditions present for this job.
• This role is an on campus, in-person position.
• The noise level in this work environment is usually moderate.
