About the College/Unit/Department
The University of Georgia School of Medicine was founded in 2024 and received preliminary accreditation in 2026.
The establishment of a new public medical school at UGA comes as the state faces a significant shortage of medical professionals. The population of Georgia, the nation's eighth-largest state, has surged to approximately 11 million residents, straining existing medical infrastructure and resulting in longer wait times for appointments and reduced access to care. Georgia currently ranks 39th in the nation for the number of active patient care physicians per capita and 41st for the number of public medical students per capita.
As a top-20 public university with a thriving research enterprise and vast public service network, the University of Georgia is well-positioned to produce more highly trained physicians, alleviate physician shortages, and improve the state's ability to provide quality health care for its citizens.
The School of Medicine is located on UGA's Health Sciences Campus in Athens. In its inaugural year, the UGA School of Medicine will enroll 60 students per class, but a new $100 million medical school building will enable the UGA School of Medicine to grow to 120 students per class in the future.

Position Summary
The Evaluation and Grade Data Management Coordinator provides operational leadership for the management, integrity, and flow of evaluation, assessment, and grade data across all four years of the MD curriculum at UGA School of Medicine. This position is responsible for administering evaluation and assessment processes through use of appropriate technology platforms, maintaining the library of evaluation forms, coordinating data collection from multiple sources, and managing grade workflows to ensure accuracy, transparency, and compliance with institutional policies.
The Coordinator serves as the primary administrator for evaluation and assessment activities within One45 and other assessment/evaluation tools for the School of Medicine, ensuring timely distribution, tracking, and reporting of course evaluations, faculty evaluations, and rubric-based student assessments. In addition, the position manages centralized grade data for courses, clerkships, and electives from examinations, rubrics, and other assessment tools, maintaining working gradebooks for leadership review and ensuring posting of finalized grades in official systems. The position exercises high-level independent judgment in resolving data discrepancies, determining appropriate workflows and data management, and ensuring compliance with academic policies.
While the primary focus of this position is the School of Medicine, this position also supports the AU/ UGA partnership during the campus transition period. This includes serving as the lead for 3rd and 4th year student grade collection and reporting across several technology platforms, and evaluation and assessment distribution through One45.
This position works collaboratively with and under the direction of the Assistant Dean for Assessment and Evaluation. The position works closely with the Assessment Management Coordinator, course directors, relevant faculty, and Office of Curriculum staff. The position reports to the Director of Medical Education and is ultimately accountable to the Associate Dean for Curriculum for the duties described in this document.
Knowledge, Skills, Abilities and/or Competencies
- Experience in medical education or health professions education
- Direct experience administering One45 evaluations or similar assessment platforms
- Experience managing grade workflows and compiling data from multiple assessment sources
- Advanced proficiency in Excel or similar data management tools
- Knowledge of educational evaluation and assessment principles
- Strong understanding of grade integrity, academic policies, and data governance
- Advanced data organization and quality-control skills
- Ability to synthesize data from multiple sources into clear, actionable formats
- High attention to detail and ability to identify discrepancies or data issues proactively
- Strong communication skills when working with faculty, administrators, and students

Evaluation and Assessment Administration (One45)
- Administer, schedule, distribute, and monitor all course, faculty, and student evaluations within One45 and other relevant evaluation platforms for all four years of the MD curriculum
- Maintain and update evaluation and assessment forms, rubrics, and instruments in collaboration with curricular leadership
- Track completion rates and follow up with stakeholders to ensure timely data collection
- Ensure data accuracy, integrity, and appropriate use of evaluation results
- Facilitate logistics, process, and scheduling for course and clerkship evaluation focus groups

- Generate routine and ad hoc evaluation reports to support assessment review and decision-making for the Curriculum Oversight Committee and curriculum leadership
- Collaborate with the Assistant Dean for Assessment and Evaluation to interpret data trends and support continuous improvement
- Ensure secure handling and appropriate access to confidential academic data
- Recommend process improvements and identify systematic data issues
- Facilitate distribution of faculty evaluation reports to faculty, and to educational/curricular leadership
