About Westchester Community College:Westchester Community College was founded in 1946 as the New York State Institute of Applied Arts and Sciences in White Plains. In 1957, the County of Westchester bought the 360-acre John Hartford estate in Valhalla and designated 218 acres for the community college. Job Description:
The Office Assistant (WP) provides operational support to the Office of Admissions in a fast-paced, student-centered environment. The incumbent performs a wide variety of clerical and administrative support tasks with a high degree of independence, accuracy, professionalism, and attention to detail and functions as an assistant to a number of administrative and professional staff persons.
Reporting to the Director of Admissions, the incumbent assists with admissions communications, recruitment event coordination, payroll and personnel processing, records management, and general office operations.
Admissions Communications & Mailings
- � Generates admissions correspondence using PeopleSoft, Microsoft Word, and Excel.
- � Prepares and distributes weekly applicant mailings.
- � Scans and indexes admissions letters and documents into OnBase.
- � Prepares enrollment packets and registration materials during Peak Registration periods
- � Communicates with applicants regarding missing or incorrect application information.
Office Operations & Purchasing
- � Monitors and orders office and recruitment supplies.
- � Maintains supply inventories and storage areas.
- � Processes purchase requisitions and assists with budget monitoring using PeopleSoft Finance.
- � Obtains quotes and purchases materials for recruitment activities and Open House events.
Payroll & Personnel Support
- � Submits adjunct and seasonal employee payroll hours.
- � Processes clerical overtime submissions.
- � Assists with payroll projections and personnel-related paperwork.
Recruitment & Outreach Support
- � Maintains recruitment calendars and event records.
- � Processes travel authorizations and reimbursements for recruitment staff.
- � Tracks recruitment expenses and prepares recruitment-related mailings.
- � Supports recruitment activities throughout the year.
Student Worker Supervision
- � Assists with the recruitment, assignment, and monitoring of student workers and volunteers.
- � Tracks student worker hours and communicates with the Federal Work-Study Office.
Open House Coordination
- � Assists with planning and implementation of two annual Open House events.
- � Maintains mailing databases and promotional outreach lists.
- � Coordinates supplies, signage, work orders, and event logistics.
- � Assists with event setup, breakdown, and vendor payments.
General Administrative Support
- � Distributes mail and maintains office materials.
- � Creates promotional flyers and office signage.
- � Processes application fees and submits deposits.
- � Submits work orders and Personnel Action Forms (PAFs).
- � Maintains recruitment databases and RSVP lists.
- � Prepares meeting notes and provides general administrative support as assigned.
- � Performs additional duties as assigned by the Director of Admissions
Requirements:
REQUIRED QUALIFICATIONS: *This is a Civil Service position. The Department of Civil Service has developed a hiring program that streamlines the appointment process to allow agencies to hire diverse, qualified employees quickly and without examinations. The hiring for emergency limited placement (HELP) program temporarily removes the civil service exam requirement for this title.*
Possession of a high school or equivalency diploma and three years of experience where the primary function of the position was performing general office/clerical work, two years of which must have included the use of computer applications to maintain automated records or produce correspondence, spreadsheets, forms, reports or other documents required. The ability to follow instructions without close supervision is required. Excellent communication and writing skills are also required. The successful candidate must be highly organized, detail-oriented, able to manage multiple priorities, and demonstrate strong customer service, communication, and computer skills.
PREFERRED QUALIFICATIONS: Possession of a minimum of an Associate's degree or Microsoft Office Certification or course work in Microsoft Office applications is preferred. Experience working in an educational institution is also preferred.
Additional Information:
POSITION EFFECTIVE: Priority will be given to applications received by July 14, 2026. However, the interview process may include the review of application beyond the application deadline date, as necessary, and until the position is filled.
WORK SCHEDULE: The work schedule is Monday through Friday 9:00 a.m. to 5:00 p.m.
SALARY & BENEFITS: The starting salary is $52,311. Additional compensation with seniority steps maximize at a salary of $63,413. Benefits include comprehensive health coverage, a choice of defined benefit or defined contribution pension plan, generous leave benefits, and access to tax sheltered annuities and a deferred compensation plan.
