Description
We are seeking a Program Coordinator - Operations who plays a critical role in supporting operations across four clinical locations within Student Health and Well-Being (SHWB) Primary Care and MHS integrated clinics. Their role is highly mobile and responsive, requiring flexibility to deploy to other clinic locations to support cross-site operational needs, project implementation, and real-time issue resolution. Serving as a key operational liaison on-site, the Program Coordinator deploys as needed to ensure seamless clinic function, provide short-term coverage, and support pop-up or project-based initiatives that sustain department performance. This role also provides hands-on logistical support for clinic and departmental initiatives, which may include coordinating and procuring event materials, transporting supplies between sites, supporting on-site event setup, and completing time-sensitive operational tasks that ensure clinics remain fully supported and functional.Specific Duties & Responsibilities
- Contribute to goal setting and identify program operational requirements to meet programmatic goals.
- Obtain and utilize internal and external resources to meet program goals.
- Serve as primary contact for the program with internal departments and external organizations.
- Responsible for monitoring budget expenses, processing invoices, performing budget reconciliation, and assisting with budget development.
- Compile documentation related to funding and finance.
- Identify and resolve programmatic problems.
- Assist with planning events and coordinate preparation, set up and logistics for events/ functions.
- Coordinate communication activities via websites, social media channels, and publication materials as needed.
- Ensure timely, accurate and appropriate reporting of program activities.
- Serve as an implementation lead for cross-site operational projects, including space optimization, workflow redesign and infrastructure improvements.
- Oversee centralized operations and overall calendar management for Primary Care and Mental Health Services, ensuring visibility of clinic capacity changes and system-wide impacts. Coordinate operational communications, including clinic closure notifications (e.g., inclement weather), service adjustments, and other time-sensitive updates to maintain continuity and minimize disruption across sites.
- Partner with the Senior Administrative Manager and site leadership to support resolution of logistical, facilities, and systems issues. While site supervisors remain the primary points of contact, provide on-site operational support during high-volume or concurrent issue periods, including assistance with Facilities, Housekeeping, Telecom, door access, and scheduling-related help tickets.
- Deploy across clinic sites to support logistical and compliance-related operations, including transporting purchased goods between locations, reviewing student health documentation for entrance and immunization compliance, and providing administrative coverage for flu and other compliance clinics.
- Coordinate and support cross-unit events and engagement initiatives for MHS and PC; serve as the administrative contact with oversight of leadership on program design, and oversight of on-site logistics including digital communication, websites, clinic displays, and on-site information resources. Contribute to marketing and communication efforts to promote participation and strengthen community engagement across clinic sites.

Knowledge, Skills, and Abilities
- Proficient with Microsoft Office programs including Outlook, Word, Excel, and PowerPoint.
Minimum Qualifications
- High school diploma or graduation equivalent.
- Four years progressively responsible administrative experience.
- Additional education may substitute for required experience, and additional related experience may substitute for required education beyond a high school diploma/graduation equivalent, to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
- Bachelor's Degree.
