Job Summary
The incumbent will serve as the Veterans Resource Coordinator reporting directly to the Assistant Registrar of Veterans Engagement. He/She will coordinate, maintain and respond to all departmental inquiries related to educational benefit processing and military funding. Incumbent will serve as the first point of contact for all veterans, service members, spouses, dependents and their families by providing additional support, customer service and best practices.
Job Duties
Duties & Responsibilities:
- Reporting directly to the Assistant Registrar for Veterans Engagement, the incumbent will be responsible for managing the day-to-day administrative and customer service support for the team. Transmitting and responding to department inquiries via telephone, email, chats, and performing in-person and virtual consultations. As the main point of contact for all students with military affiliation, the incumbent will coordinate and maintain the departmental calendar, VES ListServ, Social Media platforms, Google files, Smart Sheet databases, Scholarship documentation, DocuSign, and all veterans area group email accounts or other systems/software as they may become available. Incumbent will be required to perform and support additional duties based on departmental needs and requirements according to VA/DoD, MHEC, and university timelines.
- Incumbent will serve as an alternative point of contact for our on and off-campus partners, including but not limited to faculty, staff, academic and student service advisors, local veterans organizations and support groups, community partners, vendors, and visitors. Also, maintaining knowledge of the VA/DoD and the university policies and procedures. Staying up to date and in compliance with FERPA and other Federal regulations, guidelines, and policies. Incumbent will meet with all students, families, staff, faculty, external/internal partners, both in person and virtually, to educate, troubleshoot concerns, discuss next moves, and share best practices.
- They will prepare, distribute, and maintain all veteran correspondence to include all incoming/outgoing documentation. Assist team members with the creation of marketing/recruitment materials, while creating new tools that will automate existing manual processes, which align with the strategic plan to enhance team functionality and increase enrollment. Incumbent will create, disseminate, and maintain all flyers, handouts, team presentations/correspondence, orientation/info session notices, invitations/registration forms, set appointments, and schedule events. They will utilize all internal/external resources to facilitate timely task completion. Plan and schedule team meetings, facilitate meeting notes and transcriptions. Utilize innovative skills to create a sustainable tracking mechanism to keep files updated and relevant.
- Incumbent must exercise independent judgment and make sound decisions through effective communication. Maintain compliance using an accurate filing system for student veterans' PII and other confidential documentation. They will provide backup compliance support and assist with the implementation of MOUs, SAP compliance, and 85/15 standards between the university and the DoD, Department of Veterans Affairs, and Maryland State Approving Agency (MHEC).
- Incumbent will provide day-to-day oversight of the VA Work Study Program and its participants. Organizing and participating in the hiring process. Ensuring that the team's policies, procedures, and training materials are updated consistently and followed as prescribed. Create and disseminate assignments on a daily basis and ensure assignment completion based on VA/DoD, MHEC, and university timelines. Assist SCOs with monitoring students' performance and providing guidance, instructions, and work experience.
- They will offer support to the School Certifying Officials as it relates to ensuring all documentation/forms and website information aligns with the VA and DoD policies for compliance. Assisting where needed to coordinate with our department partners campus-wide regarding student inquiries, troubleshooting concerns/complaints, maintaining university standards, while instilling overall compliance requirements. Assist with hosting events and providing communication tabling, and team support with partnering departments and external stakeholders/partners. Establish new partnerships and build sponsorship databases to assist with the expansion of the veterans program.
- Conduct meetings via various modalities with new potential and continuing student veterans, spouses, dependents, or survivors by interpreting information and matching the students' needs with potential university or external services.
Requested Minimum Qualifications
Education:
- Bachelor's Degree from an accredited college or university.
Experience:
- 3-5 years of interpersonal and customer service skills to enable a satisfactory customer experience for our clients.
- 3-5 years of administrative experience to include proficiency in navigating the internet.
- Prior military experience or exposure to a veterans' services environment is preferred but not required. Previous experience at an Institution of Higher Learning or a college environment.
- This is a Full-time in-person on-campus position. Incumbent will be required to work in a professional office environment with the occasional need to attend local community or internal on-campus meetings, events, and fairs.
- Incumbent will be required to set up hosting venue spaces on and off campus for department-sponsored events, workshops, training, orientations, or other events and or office duties as per department needs/requirements.
Other Preferences for Consideration
Extensive exposure to Facebook, Instagram, X, SnapChat, GroupMe, and other social media platforms is preferred.
Knowledge, Skills & Abilities
- Strong verbal and written communication skills. Courteous and reliable.
- A people person with an interest in learning new things.
- Must exhibit a take-charge and can-do personality.
- Organization and time management skills are a must.
- Ability to exhibit patience, attentiveness, and navigate through complex issues or concerns. Experience with de-escalation and crowd management will be required.
- Multitasking skills are a must. Master of time management and maintaining compliance with deadlines.
- Computer and internet savvy for troubleshooting while using in-house products and systems. Prior knowledge of Ellucian Banner or Smart Sheets is a plus.
- Google Platform programs with a proficiency in Microsoft Products (Word, Excel, PowerPoint & Publisher) are required.
