Description
The Development Coordinator supports Jhpiego's philanthropic goals and mission by managing the day-to-day operations of the individual and foundation giving programs. This includes maintaining accurate donor records, processing gifts, producing reports, and assisting with prospect research and donor stewardship activities. The position plays a key cross-functional project management role, coordinating workflows and initiatives across Jhpiego's development, communications, finance, and programmatic teams. The ideal candidate is exceptionally organized and detail-oriented, with a proven ability to manage complex, multi-stakeholder projects from inception to completion. The position ensures data integrity and operational excellence within Jhpiego's fundraising systems and provides essential support for the team's cultivation, solicitation, and stewardship efforts.
Specific Duties & Responsibilities:Support processing of team information and data management. Enter, retrieve, and maintain data stored in development database (CRM). This may include:
- Processing gifts, pledges, and other donor-related transactions.
- Coordinating gift tracking and database maintenance.
- Entering visit notes, solicitation activity, and linking gifts to the appropriate proposal.
- Entering and updating workplan data.
- Compiling and producing reports.
Provide administrative support for the GECO team. This may include:
- Handle sensitive and confidential information with an appropriate level of discretion.
- Proactively maintaining a conflict-free electronic calendar for the principal, which may include arranging intricate meetings with leaders and donors.
- Coordinating staff portfolios and portfolio assignment transfers.
- Organizing meetings and preparing materials.
- Preparing and mailing gift acknowledgement letters.
- Drafting correspondence.
- Producing a variety of reports and presentations using information from multiple sources.
- Creating tables, graphs, and PowerPoint presentations.
- Preparing event briefings for leaders.
- Responding to internal and external constituent inquiries.
- Assisting with financial transactions, e.g., reconciling travel expenses, paying invoices.
- Maintaining and monitoring operating budgets.
- Ensuring the successful execution of events by assisting with planning and day-of management.
- Assisting with management of project deadlines and deliverables, following up on outstanding tasks.
- Monitoring and contributing to social media communications.
- Maintaining office filing systems and office equipment inventories.
- Other duties as assigned.
Addition to Duties & Responsibilities Above:- Track donor recognition activities and event participation.
- Support planning and follow-up for donor meetings and engagement events.
- Provide administrative and logistical support to the Manager, Philanthropy, and broader Development team as needed.
- Support implementation and reporting of digital fundraising campaigns in collaboration with Marketing & Communications.
- Contribute to a collaborative, positive, and donor-centered culture within GECO.
- Manage and track development projects across multiple Jhpiego teams-including communications, finance, programs, and leadership-ensuring timelines, deliverables, and stakeholders are aligned.
- Use Air table to build and maintain project trackers, campaign calendars, and stewardship pipelines that provide visibility across the development team and partner departments.
- Coordinate internal workflows for annual fund appeals, impact reports, donor events, and stewardship mailings, proactively identifying bottlenecks and driving tasks to completion.
- Serve as a reliable point of coordination between the development team and Jhpiego program staff to support reporting, grant compliance milestones, and donor-facing content.
- Maintain meticulous records and documentation for all active projects, ensuring version control and easy access for team members across time zones and departments.
Minimum Qualifications- High school diploma or graduation equivalent.
- Three years related experience.
- Additional education may substitute for required experience and additional related experience may substitute for required education permitted by the JHU equivalency formula.beyond a high school diploma/graduation equivalent, to the extent permitted by the JHU equivalency formula.
Preferred Qualifications- Coursework or certification in fundraising, data analytics, or CRM management.
- 3+ years of experience supporting individual or foundation fundraising programs.
